Ticket Refunds Eligibility, Karma Card & Membership Terms of Sale, Notice Commitments, Weather Disruption Procedures and Announcement Protocols.
SUMMARY OF MAIN POINTS
If weather is forecast to make the event unsafe to deliver, with a probability of 90% or more as per https://bom.gov.au website, then we will cancel and notify participants of the cancellation at least 12 hours prior to the start of the event, by email.
If an event has not been cancelled, it is confirmed and will go ahead. Should weather disrupt a Yoga lesson by more than 10% of the total class time, we will offer you a full refund (or credit to the same value to transfer your ticket), regardless of how much of the class you participated in.
Morning events will be confirmed at least 12 hours prior to the start of the event. Evening events will be confirmed by 8AM of the morning of the event.
Refunds are also issued by us if you email us at firstname.lastname@example.org, more than 14 days before the time event starts;
Credit to the value paid for your ticket is issued if you email us at email@example.com, more than 7 days before the time the event starts;
Notice from us is by emailing you if you booked via our Website. We are not able to guarantee the timely cancellation of each listing for every booking platform we operate through and urge you to sign up and reserve your spot via our website, so that we have your email to receive important cancellation notifications directly from us.
Karma Card 5 and 10 multi-use passes, are non-refundable and non-transferable, but you can buy one as a gift and have someone else's name written on it when you have it issued. They are valid for the number of classes allowed by the card or 12 months from the date of first use, whichever is earlier;
Karma Card 6 and 12 month, unlimited memberships are non-refundable and non-transferable, but you can buy one as a gift and have the issuer write someone else's name on it for you. Depending on the membership type, they are valid for 6 or 12 months from the date of first use written on the card;
Karma Card Humanitix monthly memberships are special memberships offered exclusively to people who book using the social humanitarian ticket buying platform, Humanitix. These unlimited memberships are non-refundable and non-transferable.
If you have reserved a spot in class via an event listing platform, but not yet paid for your spot, please provide us with the same 14-day cancellation notice period that a buyer would, as a general courtesy to us and others in the group wanting a spot.
Whilst we do our best, we do not guarantee that that we will have time to post Cancellation Notices via Instagram, Facebook, Humanatix, Eventbrite, Classpass, Eventzilla, TripAdvisor or any other platform we may subscribe to. To get all your notices directly in one place, please sign up with us directly or book your spot via our Website to avoid disappointment.
As an events organiser that operates weekly Yoga classes at the South Perth Foreshore, as well as various other outdoor Wellness Activities and locations, we have developed the following policy and procedures to confirm and cancel the events we put on, from week to week when necessary due to the weather. This policy becomes important to understand as we enter the less predictable winter months in Perth.
Please note that all attendees of our events are encouraged to RSVP or book their spot and subscribe to the announcements specific to each event by using our Website and via the Wix App (from Google Play Store; Apps Store). Failure to do so may mean you miss an important cancellation announcements and our staff are not always available to respond to direct SMS and phone call queries in time for the event you may be contacting us about to confirm. All updates to our Class Time Table are predominantly reflected here on our Website. We will make every effort to engage you here on Meetup or via the event platform you have booked with us through, but cannot guarantee that cancellations will be sent out other than in the way committed to in this refund policy.
If no announcement is made to say that an event is cancelled within the following timeframes provided, then the event is automatically confirmed.
Morning events (AM): Notice dispatched no later than 12 hours prior to the start of the event
Evening events (PM): Notice dispatched no later than 8am on the morning of the event.
If one of our teachers choses to run a weekday 5.30pm class during the cooler months between 1st June and 30th September ('Winter'), the class duration will be reduced to 60 minutes, to cater for the cooler evenings. Such classes will be announced when initiated by the teacher and confirmed in accordance with this policy.
If the teacher of the Sunday 9.30am class chooses to run the Sunday 8am class during Winter, the class will be announced when initiated by the teacher and confirmed in accordance with this policy.
CANCELLATIONS BY US
Morning Classes (AM):
If weather looks like it is likely to significantly disrupt an event, in a way that either unfavorably diminishes the experience significantly, or causes safety concerns to those partaking, then we will announce the cancellation of that event no later than 12 hours prior to the start of the event. For example, if the 8am Sunday morning class will be cancelled, this will be announced (as outlined in our Compulsory Announcement section below) by 8pm, the evening of the Saturday before.
Afternoon & Evening Classes (PM):
If weather looks like it is likely to significantly disrupt an event, in a way that either unfavorably diminishes the experience significantly, or causes safety concerns to those partaking, then we will announce the cancellation of that event no later than 8am the same morning of the event. For example, if the 5.30pm Monday morning class will be cancelled, this will be announced (as outlined in our Compulsory Announcement section below) by 8am, on the same Monday morning.
Once an event is Cancelled, it will not be reinstated or confirmed for that occurrence, so we aim to only cancel at the last possible minute when we are sure that it is absolutely necessary. If you require more notice or certainty then you should deem the event to be cancelled to avoid your own disappointment otherwise.
CONFIRMATIONS FROM US
If an event of Activity is not cancelled and no announcement is made to say it has been cancelled or rescheduled by 12 hours prior to the start of the event, then the Event or Activity is automatically confirmed. In these instances the Organiser and/or Co-Organiser/Teacher, (as the case may be) will attend the venue of that Event at the specified start time, regardless of whether circumstances and conditions change in the interim. This ensures that nobody will turn up and remain uninformed, should the event be confirmed and yet still cannot proceed for whatever unseen reason.
NOTIFICATIONS BY US AND YOU - Waiver and Sign Up
From April 1st 2019, all attendees must sign up via the registration form here. This is so we can streamline bookings and manage cancellation communications by us and you to best utilise event spots. Please ensure you have registered so we can make contact with you directly about events via the information you provide and advise us when you are claiming a ticket by choosing your class spots to apply your ticket to at www.perthyoga.org/book-online.
THE COMMITMENT FROM US - Compulsory Announcements
We will notify all attendees that have booked via our website www.perthyoga.org directly by email, in the rare instance that an event is cancelled. This will occur as per the minimum time frames outlined above.
We will also cancel the event on Meetup and will create a discussion on the Meetup Group Homepage www.meetup.com/perthyoga, so that anybody who has not yet booked and plans to attend, will also see this message in their email or Meetup inbox. Please make sure your Meetup User Notification Preferences are configured to receive our event announcements if you are booking via Meetup.
In the case that you have a ticket from Eventbrite, Class Pass, Humanatix, Eventzilla, Airbnb or Trip Advisor, we will also ensure that you receive a cancellation notice from us to the email supplied when you purchased or booked online through those corresponding websites.
THE COMMITMENT FROM YOU - Notice & Refunds
We can work with you and will refund your money in full if you inform us of a cancellation more than 14 days prior to the start of an event you have booked for. We ask that you honor this length of notice when you reserve an unpaid spot (through Meetup for e.g), so we can make it available for someone else if you can't make it to class. If something unavoidable comes up for you, and you inform us more than 7 days before the event that you are unable to attend, we will still issue you a credit to redeem for the same value as the ticket you have purchased, as long as this ticket has not redeemed. You must notify us by emailing firstname.lastname@example.org. Credits for cancellations are valid for 3 months from the date of issue.
NON-COMPULSORY ANNOUNCEMENTS BY US - Other Platforms
After discharging our commitment to you to announce cancellations in the method described above, every effort will be made to publish the same announcement on the following additional social media pages and via our database, however, these are additional, voluntary announcements, posted at the Organiser's or Co-Organiser's discretion, under this Policy, should they have time, which is not always the case:
via sms or any other website or communication method
Please note, we may not find time to announce the cancellation on all the platforms that we host or contact each participant individually. This policy commits us to announcing cancellations primarily via our Website and using the Wix App (from Google Play Store; Apps Store) so please start using those if you are not already doing so.
If you have purchased a ticket to reserve your spot at one of our events through our Website or any of the platforms that we may use (such as Eventbrite, Meetup, Class Pass etc), and that event is cancelled or rescheduled, you are entitled to a refund or to use that prepayment towards your next payment you make with us. To request an alternative booking date to use your credit, or to request a full refund in the instance that an event or activity is cancelled, please email us, and take the appropriate actions via the platform you booked through, within 5 days of the Activity being cancelled. Please note, that we will approve all valid refund requests within 3 working days, however you should be aware of the Terms and Conditions of each platform that you pay us via, as the time that it takes for each of them to release your refund to you varies. Should you wish to reschedule your attendance to a spot on a future event, to the same value of your purchase, then please email your request to us and we can reserve you a spot at an event on another day that suits you.
If you can't attend an event that you have paid for because of your own circumstances, we will still refund you in full, upon receipt of notice from you by email or by updating your booking online with us, more than 14 days before the start of the event. If you email us more than 7 days before the start of the event, we will cancel your reservation and transfer it to another date of your choosing, to redeem.
Should we grant a refund or credit outside of the 14 and 7 days of notice required under this policy from you, that waiver of these refund conditions will not be deemed to be a waiver of our refund conditions in future instances of a cancellation by a participant.
Please note that if you have not signed our Waiver and Sign Up form, you will not be able to to safety attend our event and redeem your ticket or Membership with us. In such instances where this has not occurred at the time that an event starts, refunds will not be issued, so please ensure you have done this once via the link here: https://tinyurl.com/perthyogasignup to avoid disappointment. (You do not need to do this more than once unless your details have changed).
Refunds are not givenfor digital products purchased on our website, once the transfer of a file has occurred. If you believe that a purchase of a digital product was unfair on your part, please raise a dispute by emailing email@example.com, stating the grounds for disputing the transaction and we will review your request and respons within 5 working days. Any outcome provided by us is final in the matter of the transaction disputed.
We operate to enrich your life socially and health wise and not to rip you off. We believe this policy is fair and facilitates the guidance to comit, balanced with the flexibility you may need to make your purchasing choice with us. The terms here allow us enough certainty for our Teachers and staff to commit their time whole heartedly so that we can deliver great events without operational hindrance. We encourage you to reach out to us and treat us like your tribe if you have any booking or refund problem that needs to, or ought to have been over come. The main purpose of this policy is affirm your legal rights as a consumer and to give you the assurance that we ware the risk in terms of your purchases with us, weather disruptions and advance changes in your plans so you don't have to worry about those considerations when booking.
